Tourism Sponsorship Grant Program Application

  1. Overview

    King George County is proud to support local events, nonprofits, and businesses through its tourism sponsorship program. This initiative aims to attract visitors to the county and enhance community engagement by providing a maximum grant of $10,000 to selected applicants.

    Pursuant to the Code of Virginia § 58.1-3819, such designated funds shall be spent solely on tourism, travel, and related marketing for the purpose of increasing occupancy at lodging properties and generating tourism revenue.

    The sponsorship program is intended to support new or expanding tourism projects. If the tourism initiative is in its first five years of operations, then applicants will receive the following awarded funds through a sponsorship step process.

    Reimbursed funds will be issued upon completion and approval of the initiative’s after-report, due to info@co.kinggeorge.state.va.us within 30 days of the initiative.

    Any well-established tourism initiatives (having more than five years of operations) are not eligible for the grant program unless requesting funds to expand their initiative. However, well-established initiatives may submit an existing sponsorship package with this application for consideration. If packages are submitted after the grant program deadline for the given fiscal year, staff has the discretion to review the package and determine whether the sponsorship aligns with the county's tourism strategy. If selected, sponsorship will be awarded based on allowable funds for the remainder of the fiscal year. Upon sponsorship, the county enters an agreement with the tourism initiative selected that the benefits of the tier outlined in the package will be satisfactorily met. Proof that benefits were received is required to be considered for future sponsorship.

    Applications will open on January 1 of each year and will be due by April 1 of each year. Applications will be reviewed by the tourism advisory committee during their April and May meetings, which are on the third Wednesday of each month at 3:30 p.m. in the board room at the Revercomb Administration Building (10459 Courthouse Drive). It is not a requirement for applicants to be present; however, it is recommended. Once the committee has deliberated and determined their recommendation for funding for the upcoming fiscal year, the applications will be presented to the board of supervisors during their first June meeting, which is the first Tuesday of the month at 5:30 p.m. in the board room. The board of supervisors will vote to approve funding during their second meeting of June, which is the third Tuesday of the month at 5:30 p.m. in the board room. Awards will be issued in the beginning of July.

  16. Provisions

    If you are awarded funds, you will receive initial awarded funds in July. To receive the additional percentage of funds, you must provide proof of the following provisions within 30 days of your event. By applying, you agree to the following provisions as part of the agreement for funds.

    A post-project report must be written and submitted to info@co.kinggeorge.state.va.us containing the following:

    • Marketing and lodging reports
    • Attendance numbers
    • Participant and stakeholder feedback via survey or other means of data collection
    • Summary of the project and its objectives, highlights, and achievements
    • Evaluation of the success of the project and its marketing strategies
    • Advertised sponsorship package
    • Detailed report of the final budget, revenue generated, expenditures, and use of county funds in a spreadsheet with accompanying bank statements, receipts and product proofs (i.e. an advertisement proof), including a list of funds from sponsors and vendors
    • Proof of insurance from event/project coordinator or form accepting liability, as well as proof of insurance for all vendors
    • Proof of vendor registration with King George County Commissioner of the Revenue’s Office
    • Actionable items for future planning and improvements
    • Any purchase of equipment using county funds automatically becomes King George County property unless otherwise granted by the King George Board of Supervisors.

    Marketing

    • All marketing materials must contain the official Visit KGVA logo. Contact info@co.kinggeorge.state.va.us for an up-to-date logo.
    • Visit KGVA social media accounts must be tagged or otherwise added to all social media marketing, specifically Facebook and Instagram.
    • Email marketing is required. Visit KGVA must be highlighted as a destination in at least one marketing email. For content, contact info@co.kinggeorge.state.va.us
    • All website marketing must mention Visit KGVA and contain a link to visitkinggeorge.com
    • Market info must be collected either through a sign-up sheet, post-visit survey or similar means for tracking data. Participant lodging choices, as well as marketing effectiveness (i.e. how did you hear about us?) must be collected. The results must be shared with the county to receive full funds.

    Events

    • A booth must be provided for King George County Tourism.
    • All photo and video rights must be waived for County marketing purposes.
  17. Awards

    Sponsorship awards may exceed the $10,000 maximum if additional tourism partnership is offered to the county. Additional funding is at the discretion of the King George Board of Supervisors.

    County support may be provided for special event permit applications. Fees for certain permits may be waived to encourage safety inspections, including tents ($325, $75 for reinspection), food trucks, and amusement items (starting at $35).

    If estimates exceed granted funds, applicants may reapply for adjusted funds provided the adjustment does not exceed 10 percent of the original granted funds or the $10,000 maximum.

    Timeline

    • Recommended applications presented to the board of supervisors during their first June meeting, which is the first Tuesday of the month at 5:30 p.m. in the board room.
    • Board of supervisors vote to approve funding during their second meeting of June, which is the third Tuesday of the month at 5:30 p.m. in the board room.
    • Awards will be issued in the beginning of July.

  19. Electronic Signature Agreement*

    King George County reserves the right to refuse reimbursement, as well as request for funds to be returned, in the event that the above agreement is not satisfactorily met. If the above agreement is not satisfactorily met, applicants are deemed ineligible for future sponsorship. 

    In the event that King George County determines the applicant has breached the agreement and requests funds to be returned and the applicant does not comply, the court involved in the recovery of the funds shall include all legal fees incurred by the county as part of the applicant's outstanding debt.
